Navigating Short-Notice Cancellations in the NDIS

Empowrd • January 12, 2025

The National Disability Insurance Scheme (NDIS) provides clear guidelines to manage short-notice cancellations fairly. Whether you’re a participant or a provider, understanding these rules is essential for maintaining a positive and productive working relationship.

What Qualifies as a Short-Notice Cancellation?

Under the NDIS, providers can claim for short-notice cancellations if:

  • The participant cancels with less than two business day's notice for services under 8 hours or valued at less than $1,000.
  • Five business day's notice is required for longer or higher-value appointments.
  • There is a clear agreement with the participant regarding short-notice cancellation charges.

Providers can charge 100% of the agreed fee for short-notice cancellations, but only if these conditions are met.

How Providers Can Ensure Claims Are Accepted

To successfully claim cancellation fees under NDIS guidelines:

  1. Review the NDIS Pricing Arrangements: Ensure the service qualifies for short-notice claims.
  2. Document Agreements Clearly: Your service agreements should include detailed cancellation policies, notice periods, and fees.
  3. Provide Evidence: Keep records of attempts to reschedule or evidence that staff could not be reassigned to alternative work.

Clear documentation is essential to support claims.

For Participants: Tips to Avoid Cancellation Fees

Participants can avoid unnecessary charges by:

  • Notifying Providers Early: Communicate any changes to your schedule promptly to stay within the required notice period.
  • Understanding Service Agreements: Familiarize yourself with your provider’s cancellation policies to avoid surprises.
  • Working to Reschedule: Collaborate with your provider to reschedule services wherever possible.

Taking these steps ensures smoother interactions and better use of your NDIS plan.

Why Transparency Matters

Clear and open communication about cancellation policies builds trust and ensures fairness for participants and providers. Setting expectations upfront can minimise disruptions, fostering stronger and more effective relationships.
